The Higher Education Loans Board (HELB) has issued guidelines on how students who have successfully transferred to other learning institutions through the Kenya Universities and Colleges Central Placement Service (KUCCPS) can update their institutional details on the Higher Education Funding (HEF) Student Portal.
In a notice dated October 19, the board noted that students should complete the update during the loan allocation stage.
According to the board, students who have already reached the disbursement stage may need to contact HELB directly for assistance, noting that the specified process does not allow institutional changes once disbursement begins.
“Updating must be done during the allocation stage, as details cannot be changed once disbursement starts,” HELB clarified,
Updating Institution Details on the HELB Student Portal
Students who have completed an inter-institutional transfer through KUCCPS should access the official HELB Student Portal, navigate to the student portal service, and log in with their existing credentials.
After logging in, students should look for the “Update Institutions” or “My Account” section, depending on the options available on their accounts.
These sections provide access to account information and the relevant options for managing institutional details.
Select the “Manage Transfers” option, where available, and confirm that their transfer has been approved and that the receiving institution has recognized their placement.
Enter the requested updated academic information, including the new student registration number, the receiving institution, and the course in which the student is enrolled.
Students should ensure that the information matches their official admission and registration records to avoid submitting incorrect details.
After uploading the information, students should review the details before saving and submitting the changes.

Personal Details
Students can also correct their personal information or change payment details through the Higher Education Funding (HEF) Student Portal.
To update personal details, students should visit the official HEF Student Portal using a phone or computer browser or access available services through the HELB mobile app.
Applicants should log in using the email address and password registered to their accounts.
According to the Loans Board, if an applicant has forgotten their password, they should use the password-reset option on the portal.
New users should register and provide the required identification details, including their National ID information or KCSE index number, alongside a valid email address.
After logging in, students should open their profiles, review their biodata, and correct eligible details, including their names, identification information, telephone numbers, and email addresses.
Bank or Mobile Payment Details Update
To change the bank account or mobile payment number used to receive HELB funds, applicants must complete an amendment procedure.
According to HELB, the board offers a Student’s Personal Bank and Phone Details Change Request Form for such requests.
The form requires the student’s full name, National ID number, institution, admission or registration number, telephone number, and email address.
Applicants must also provide the previous and replacement payment details relevant to their requested change.
Supporting documents may include a copy of an ATM or bank card.
Students may also be required to declare that the replacement payment details belong to them.
