The Ministry of Foreign Affairs has called on Nairobi landlords to submit bids as it seeks to lease spaces to accommodate two United Nations (UN) missions.
In a statement, the ministry indicated that it was looking for office spaces to be occupied by diplomatic missions including UNON/UNEP and the UN Habitat.
The landlord should be willing to lease the space for more than five years and be willing to accept diplomatic clauses as well as adopt government standard lease terms.
Further, the statement detailed that the property being sought ought to be designated for office use. If not, the ministry prefers a property with its own compound in a good state of repair and maintenance both internally and externally.

Additionally, the property should be free from structural defects, ready for immediate occupation and internal partitioning is allowed.
“State Department for Foreign Affairs now invites eligible firms or individuals to indicate their interest in providing the properties for lease. A firm will be selected in accordance with the laws governing lease agreements in the Government of Kenya,” the statement read in part.

Other Requirements Needed by the Ministry for the Properties
On the other hand, the statement indicated that the spaces should be located approximately within a radius of 5 kilometers from the United Nations offices in Gigiri.
Other qualifications listed in the notice include easy accessibility using the existing transport links, suitability of the neighborhood for Diplomatic Mission, and a property free from environmental hazards.
Also, the landlords were asked to ensure that the selected location is in a secure neighborhood, with measures in place to protect the Diplomatic Mission and its staff including an electric fence, CCTV and perimeter wall enclosure.
In addition, the ministry is looking for a building that is well served by trunk water, electricity and sewer and fiber-optic internet. It should have available power backup and adequate water storage facility.
It should have sufficient space including offices, meeting rooms, reception areas, and other necessary facilities, with a minimum of 14, 000 square feet of lettable office space.
The statement also noted that the property should have a minimum of 20 parking slots, a compound that allows hosting of garden functions of a minimum of 50 guests, a conference facility enough to host 30 persons seated.

How to Submit Bid
To submit bid, interested firms and bidders should provide information demonstrating that they have properties that meet the minimum specifications required.
Additionally, expressions of interest must be delivered in written form and in English language. The documents should be addressed to the Principal Secretary, State Department for Foreign Affairs; P.O. Box 30551-00100 NAIROBI.
The ministry directed interested bidders to deposit application documents in the Tender box marked ‘State Department for Foreign affairs’ located at Old Treasury Building Main reception; Ground floor, along Harambee, Nairobi.
The deadline for application is on or before 11 June 2024 at 10.00 a.m. East African Time.
“Firms or Individuals intending to send their Expressions of interest via e-mail should send to: procurement.foreignaffairs@gmail.com and procurement@mfa.go.ke on or before 11th June 2024 at 10.00 a.m. East African Time.
“Submitted documents should be clearly marked “Lease of office space for UNON/UNEP&UN-HABITAT,” stated the notice.
