The Teachers Service Commission (TSC) issues detailed guidelines to help teachers claim reimbursements for official travel and related expenses.
Reimbursements are allowed only in specific situations, including when a teacher’s interdiction has been revoked, while traveling to attend an interview, or when traveling to a first posting outside their home district.
Travel expenses are also reimbursable for teachers retiring from duty stations outside their home district, as well as for those working in hardship areas who travel to and from home during school holidays, provided that the teacher’s home district is outside the hardship area.
According to a TSC circular, teachers must complete the Traveling Expenses Claim Form in duplicate to receive their reimbursements.
They must attach all supporting documents, including receipts, invoices, and official authorization letters. The form requires key details, including the teacher’s TSC number, institution, grade, pay point, and bank account.
How Teachers Can Claim Travel Expenses from TSC
This must be accompanied by a full breakdown of the journey, including travel expenses, hotel costs, and distance covered.
All dates for the expenses should also be clearly indicated.
A teacher must also provide Reason(s) for the journey and certify that the expenses are in accordance with TSC Regulations, Chapter 11 (Paragraphs 6-8).
Each claim must include the date and the signature of the claimant to confirm accuracy.

What Teachers Need to Claim Travel Expenses from TSC
Additionally, the form requires the date and signature of the Head of Institution to verify that the claim has been reviewed and approved before submission.
According to the Commission, all claims must be accompanied by the necessary receipts and invoices and signed by the Head of Institution to verify authenticity.
Teachers using personal vehicles are required to indicate the distance covered, vehicle capacity, and registration number, and to attach a copy of the logbook.
Meanwhile, those hiring vehicles need to attach a prior authorization letter from the TSC Agent.

Claims submitted by head teachers must be forwarded through the County Director of Education (CDE) or Sub-County Director (SCD) for approval.
To ensure accountability, all travel claims should be submitted within three months of the journey.
Teachers attending interviews are required to attach two copies of the official invitation letter to validate their claims.
