The Kenya National Examinations Council (KNEC) outlines the procedures for making queries if an error is made on either the KCSE or KCPE certificate.
Kenyan law requires that all documents, including academic certificates, birth certificates, and national ID, be correct without errors.
This is done through filing a request through KNEC’s Query Management Information System (QMIS) or through the school where the exams were taken.
Common Errors on KCPE and KCSE Certificates
During the examination registration process, the person in charge may make errors, including:
- Misspelled names
- Incorrect dates of birth
- Incorrect gender
- Wrong index numbers
- Subject grades that do not match the official results

QMIS is s an electronic system for handling examination-related queries for KNEC candidates
- Open your phone browser and log in to the KNEC portal by providing the correct details.
After logging in, you’ll see the dashboard with different queries, including Bio Data Amendment, Photo Amendment, School Amendment, Direct Recovery, and Payment Queries.
- Click on the amendment depending on your issue
- Enter your index number
- Select query type, exam year, and series
- Click find
A new window will be displayed where you have to fill in the current details and the proposed details.
- Enter the proposed name in the blank space given.
- On the required list, select one list at a time and attach the required document.
- Attach all the support documents, then submit your request
For school and Photo amendment, the process is the same, and you are required to give the updated details.
Candidates who want to drop or add a name on the certificates also follow the process.
Making Payment on QMIS
Once the query and attachments are uploaded, the system prompts the applicant to make the required payment depending on the issue.
This is usually prompted via the e-Citizen Portal after the process is complete. It is also required to keep a record of the payment message in case it is required.
A candidate can also report the error to the school where they did the exam, and the respective school submits a formal request to KNEC on behalf of the candidate.
Once a request is made and submitted, KNEC reviews it to verify the accuracy of the claim, and once proved, a new certificate is processed.
The processing time depends on the nature of the issue and the volume of requests.

Candidates or schools can monitor the progress through the QMIS portal using the reference number and the new certificate issued once it’s printed.
Requirements for KNEC Name Change
Applicants must prepare the following documents:
- A copy of their national ID card.
- A copy of their birth certificate and result slip.
- A letter from the headteacher or principal of the school where the examination was taken.
- Legal documents such as a marriage certificate or gazette notice (for those who have officially changed their names).
If the school is closed or the candidate sat exams in a private centre, a recommendation letter from the relevant education authority (DEO/PDE) must be attached.
