Inter-university transfer under the Kenya Universities and Colleges Central Placement Service (KUCCPS) allows students to move from one institution to another while retaining their original KUCCPS placement.

The process is not automatic and requires an online application, payment of a processing fee of Ksh1,000, and approvals from both the receiving and releasing institutions before a transfer letter is issued.

When Will KUCCPS Open the Inter Transfer Portal?

Students placed for the 2026/2027 academic year under KUCCPS should apply for Inter-Institution Transfer during the 2026 transfer window.

The application is expected to open around July 2026 and remain active for approximately one month, based on previous cycles. The KUCCPS inter-institution transfer portal is typically opened once a year, usually between July and August.

Previous cycles, such as the 2025/2026 window, followed a similar timeline, opening in mid-July and closing in August, indicating a consistent annual schedule.

Applicants for the 2026/2027 cycle should monitor official KUCCPS communications from June 2026 for the confirmed dates. Notifications are usually published through the KUCCPS website, university portals, and official communication channels.

Applications can only be submitted while the portal is active. Once the window closes, no transfers are processed until the next annual cycle opens.

How the Inter-University Transfer Works

To apply for the inter transfer program, applicants start by logging in at https://students.kuccps.net using their KCSE index number, exam year, and KCPE number or birth certificate number as the password.

After logging in, students access the “Transfers” or “Transfer Application” section. They select the study category (degree, diploma, certificate, or artisan), then choose the target institution and program.

The correct 7-digit KUCCPS program code must be entered; incorrect codes or failure to meet entry requirements result in system rejection.

Applicants are required to state a reason for transfer and, where applicable, upload supporting documents.

These may include medical reports, PWD certificates, proof of financial hardship, or academic transcripts. A written explanation is also required during submission.

A non-refundable application fee of KSh 1,000 is paid after form submission. Payment is generated in the system and completed via Lipa Na M-Pesa or other approved eCitizen-linked payment methods.

Once payment is confirmed, the application is activated and forwarded to the receiving institution for review.

Approval Process

After submission, the application is first reviewed by the receiving institution through the placement service (KUCCPS) portal.

The university or college either endorses (accepts) or rejects the transfer request. If rejected, the applicant may revise the choice of program or institution and reapply within the active transfer window.

Once the receiving institution endorses the request, it is forwarded to the current institution, also known as the releasing institution. The releasing institution must also approve the transfer through the KUCCPS system. Both approvals are mandatory for the application to proceed to the next stage.

After both institutions endorse the application, KUCCPS conducts the final review. If approved, a transfer letter is generated and made available on the student portal for download and printing.

The student then proceeds to the new institution with the transfer letter and other required documents, such as identification and academic records. The receiving institution uses these documents to complete admission and registration into the new program.

KUCCPS inter‑institution transfers can be rejected at three main levels: by the receiving university, by the releasing university, or by KUCCPS itself. Below are the common reasons and how you can avoid them.

  1. Program mismatch with cluster points
    KUCCPS inter-institution transfers under the Kenya Universities and Colleges Central Placement Service (KUCCPS) may be rejected if the selected program requires higher cluster points than the applicant qualifies for. The system automatically blocks or invalidates applications that do not meet minimum entry requirements.
  2. Weak or missing supporting documents
    Applications are often rejected when the stated reason is unclear or unsupported by valid documentation. Acceptable reasons include medical, financial, disability, or program-mismatch cases, all of which must be supported by clear evidence, such as medical reports or official certificates.
  3. Incorrect program code entry
    Using the wrong 7-digit KUCCPS program code or selecting an invalid course result in rejection. The code must be copied exactly from the official KUCCPS program list to ensure system recognition.
  4. Non-payment or payment errors
    Failure to pay the required KSh 1,000 transfer fee or incorrect processing of the payment results in an incomplete application. The transaction must be successfully confirmed through the designated payment channels for the application to proceed.
  5. Lack of institutional endorsement
    Transfers can fail if either the receiving or releasing institution does not approve the request within the required timeframe. Both endorsements are mandatory before KUCCPS can conduct final approval.
  6. Application outside the official window
    Applications submitted outside the designated annual transfer period are automatically rejected. The process is only active when the KUCCPS transfer portal is officially open, usually within a limited July–August window.
