VFS Global has issued guidance for Kenyan and other foreign nationals experiencing issues with the visa payment gateway.
In a statement on December 29, VFS Global urged applicants to follow the proper procedures outlined on their website.
“Planning to apply for your visa this festive season? If you are facing issues with the payment gateway and haven’t received your appointment confirmation, follow this process to access your confirmation letter,” read part of the statement.
VFS Global Advises on Visa Appointment Issues During Festive Season
According to the Visa and passport application company, if the payment has been deducted but the appointment confirmation has not been received, applicants are advised to first wait up to two hours and then check their online dashboard for confirmation.
Applicants can access their appointment letter within two hours.
The appointment letter must be downloaded, as it is required when submitting the visa application at the center.
If the appointment is still not confirmed, VFS Global has urged applicants to re-book through their dashboard.
The Visa and passport application company assured applicants that any amounts deducted during the failed booking process will be refunded.

About the VFS Global Refund Policy
VFS Global’s refund policy applies only to service fees and value-added service fees paid to the company.
It does not cover visa fees or legalization fees, which are paid to governments and are refunded solely at the discretion of the respective visa-issuing authorities.
Applicants seeking a refund must refer to the refund policy available on the VFS Global website.
Refunds are considered only if the applicant meets the stated eligibility criteria and submits a completed online Refund Request Form with all required supporting documents.
Refunds are not guaranteed. VFS Global reviews each request and may approve or reject it at its discretion. Any transaction charges, bank fees, administrative costs, or exchange rate losses are deducted from the refund amount.

Applicable taxes such as VAT may be refunded, subject to local tax laws.
To qualify, services must be cancelled at least three business days before the scheduled appointment.
Refund requests must be submitted within 30 days of cancellation. It may also be considered if an applicant was charged more than once or paid an excess amount, provided proof is submitted.
The refund will not be issued if the service was partially used, the applicant missed the appointment, arrived late with no alternative slot, submitted incomplete documents, selected the wrong visa category or centre, or failed to cancel within the required timeframe.
Once approved, refunds are typically processed within 15 working days and returned to the same payment method used at the time of booking.
The final credit date depends on the applicant’s bank or card issuer.
