There are certain certificates and documents that employers typically request during job interviews in Kenya. Possessing these certifications can increase your chances of getting employed and advancing your career.
Some of these documents include the Higher Education Loans Board (HELB) clearance, Credit Reference Bureau (CRB) clearance certificates, Ethics and Anti-Corruption Commission (EACC) clearance form, Kenya Revenue Authority (KRA) PIN Certificate, Certificate of Good Conduct (Police Clearance Certificate), and academic certificates.
However, a job application will be easily dismissed if these crucial documents are not attached. It is important for job seekers to understand the importance of these certificates in job applications and interviews.
This article provides an overview of these certificates, including their uses, the process of obtaining them, and the associated costs.
Academic Certificates
This refers to Kenya Certificate of Primary Education (KCPE) certificate, Kenya Certificate of Secondary Education (KCSE), diploma, degree, higher diploma, master’s and PhD certificates.
KCPE and KCSE certificates are issued to candidates after the primary and secondary national examinations respectively.
The certificates can only be acquired from the respective primary or high school.
However, students can download other documents like result slip on the Kenya National Examination Council (KNEC) portal.
Additionally, KNEC has a process of applying for replacement of a lost KCPE or KCSE lost certificates.
The process is done in 11 stages online through the Council’s website.
Certificates from the higher institutions of learning are obtained from the respective universities or colleges after upon finishing the respective courses and graduating.
HELB
Employers usually ask for HELB clearance to ascertain that applicants never benefited from HELB loan or are up to date with their loan repayment.
Individuals can apply for HELB Compliance Certificate from the HELB Portal or e-Citizen Portal.
Graduates who benefited from HELB loan should apply for Loanee Compliance Certificate while the non-beneficiaries should apply for Non-Loanee Compliance Certificate. T
Once a beneficiary has completed repaying the loan, he/she is issued Certificate of Clearance.
Individuals can apply for these certificates from the HELB Portal or e-Citizen Portal free of charge.
Log into the e-Citizen Portal and select HELB from the home page, this will take you to the compliance certificate. Follow the prompts to download your certificate.
CRB Clearance Certificate
The Credit Reference Bureau issues a CRB clearance to declare someone’s credit history status.
This certificate shows whether one has any outstanding debts or has defaulted on loans.
It is important for employment, loan applications, business partnerships and while applying for insurance.
The certificate can be obtained from various licensed agencies including Trans Union, Credit Info and Metropol.
All you need to do is visit the agencies’ site, pay the Ksh2,200 certificate processing fee.
Credit Info has the shortest application procedure as detailed below:
1.Visit the Credit site and click on the personal clearance certificate tab.
2.Fill in the form and pay the required fee of Ksh2200.
3.An email will be sent back to you with your certificate.
You will get a clearance certificate if you do not have a negative listing on your credit report.
However, if you have a negative listing on your credit report, you will be issued a credit status certificate.

KRA Pin Certificate
KRA Pin is the most important requirement that you need to have with you when you want to login to KRA Portal (iTax Portal).
How to Apply for New KRA Pin Certificate
To apply for this certificate, you will need national ID card details, a functioning mobile phone number and email address.
Then follow these steps to apply for this certificate.
1.First, visit the official itax website.
2.Click the ‘New PIN Registration’ and you will see a prompt ‘Do you want to apply for a PIN click here’.
3.Follow the provided link. Fill in the form. Make sure that you have filled in all the mandatory fields. These are usually marked with an asterisk.
4.After completing the form accurately, enter the value of the arithmetic operation.
5.Click on ‘submit’.
6.Download the e-registration acknowledgement receipt and the PIN certificate by clicking ‘Click here to download acknowledgement receipt’.
EACC Clearance Form
To apply for the EACC clearance certificate, applicants should fill in self-declaration form in duplicate (two copies).
The forms can be downloaded from the Commission’s website; www.eacc.go.ke and they must attach a copy of the ID, KRA PIN Certificate and academic certificates.
“Completed form to be signed by the applicant and the signature be witnessed by a Commissioner for Oaths or Magistrate,” directs EACC.
Completed forms can be submitted in person or may be dropped on behalf of the applicant at the EACC Head Office at Integrity Centre, Nairobi or at any EACC Regional Office or Huduma Centers country wide.
However, the process can also be done online though Adili Online (eacc.go.ke).
Upon submission of the completed form, the details are verified, and acknowledgement of the application is done by stamping on the copy of the application which is retained by the applicant.

Police Clearance Certificate
Employers normally request for a police clearance certificate to know the criminal records of job applicants.
To apply, log into the e-Citizen portal and click on Directorate of Criminal Investigations at the home page.
Click on the option for Police Clearance Certificate, here will find information about the application process. Just follow the procedure given by the system.
Proceed to submit the application and pay Ksh1050 through the official paybill number is 222222.
Finally, download and print two copies of your invoice, and one copy of your C24 on both sides of an A4 paper.
Present the C24 and inoices with an original National ID for adults and original birth certificate for minors, to the DCI headquarters of nearest Huduma Centre for fingerprint processing.
During the submission you need the following:
1.Two copies of the invoice and one copy of the C24 printed on Both sides of a C24.
2.Applicant in Person.
3.Original ID card and its Photocopy or Birth Certificate & its copy for those under 18 years.
4.Must allow his/her fingerprints and palm prints to be recorded on a prescribed fingerprint form C24.
The certificate will be sent to your e-Citizen portal after verification where you can download and print it.
